BACKSTAGE MULTI-USER

BackStage is designed to work in multi-user management environments yet allows any user to work when disconnected from the internet.  In this situation, the user cannot make changes to global data (data that is added from the menus and seen by all PROJECTS) unless an internet connection is available.  All changes to PROJECT data can be made whether connected to the internet or not.

What happens if two members of the management team try to change the same piece of data independently?
The big question!  Whilst in a well managed environment, two users shouldn't be trying to change the same piece of data, obviously BackStage needs to protect against this happening.  A detailed description of exactly how the synchronisation object works is beyond the scope of this page.  However, we'll try to provide an overview.

BackStage synchronises your data with the master files on the web server down to every last field.  Every item of data you can enter into BackStage is synchronised separately.  If any particular field has been altered since you last synchronised your data, BackStage prevents that field being overwritten and notifies you of exactly which field has not been saved back to the master copy.  All other data is saved back to the master copy.  You then need to consult with other members of your team as to which version should persist.  When you next synchronise, your changes will be allowed to proceed.

For Example:-
  • If two members of the same management team both try to book a different player for the same seat, the first member of management to synchronise their data will be allowed to save the change but the second member of management will not and they will receive a message to tell them that that player has already been altered since they last synchronised their data.  A confirmation email is also sent to all registered BackStage users of the management team outlining the data conflict. 
  • If two members of the same management team both try to change a session time for a particular session, the same procedure will be applied.
  • If two members of the same management team both try to change the seating positions for a particular section on a particular piece of repertoire on a particular session, the same procedure will be applied.

This synchronisation process in our opinion offers orchestras the best of both worlds.  They can share and change data in a responsible fashion without danger of duplication and conflict yet have the freedom to work from any location be it a coach, a remote concert venue, a bandroom underground or a PDA/Smartphone.

How many users do I need?
BackStage is principally a tool for an orchestras concert planning and management department.  Other members of an orchestral management team do not need to have a copy and can obtain all the information it generates directly from the BackStage WebPages or else from their Google Apps Calendars
