The power of BackStage can only be fully realised when the address book is populated and certain default settings configured.
ADDRESS BOOK When repertoire has been added to the sessions, the PERSONNEL page allows the user to quickly select players for each position within the orchestra by only displaying the players in the address book that play the required instruments. For instance, BackStage will only display the viola players for the viola section or only display the players that play oboe and cor anglais if such a player is required for a particular seat in the oboe section. BackStage can only do this if the address book is populated with this information after this information has been entered from the ADD/EDIT | PERSONNEL menu item. This is by far the most time consuming job associated with setting up BackStage.
ENSEMBLE DETAILS You must enter the name and address details of your ensemble from the ADD/EDIT | ENSEMBLE DETAILS page. There is no limit to how many different ensembles can be entered into BackStage. However, they all read from the same address book.
VENUES It would be advisable, although not compulsory, to enter the names and address of your most common venues from the ADD/EDIT | VENUES page. These can be then simply selected for each session where appropriate.
DEFAULT CURRENCY (BackStage Profession and BackStage Enterprise only) Default Currency is entered from the DEFAULTS | DEFAULT CURRENCY menu item. It sets the default currency that will appear in all printed contracts and pay advice notes.
DEFAULT PAY (BackStage Profession and BackStage Enterprise only) Default Pay is entered from the DEFAULTS | DEFAULT PAY menu item and means the amount for each rank automatically displays on the PAYMENTS page if you set a payment against a particular rank for a particular session. Default payments are not automatically entered into the session and can be overridden for that session but allow the BackStage user to be always dealing with the correct session rate for that rank at any one time. Default payment amounts can be changed at any time and of course don't change payments that have already be made to players.
DEFAULT PERSONNEL Default Personnel are entered from the DEFAULTS | DEFAULT PERSONNEL menu item. Populating default personnel means that when you create a new PROJECT and add repertoire to the sessions, the default personnel automatically populate your orchestra. You may then change or else confirm them. Any positions not populated by default personnel are marked as VACANCY.
DEFAULT RANKS (BackStage Profession and BackStage Enterprise only) Default Ranks are entered from the DEFAULTS | DEFAULT RANKS menu item. When payments are entered against ranks for any session, all the players sitting in the chairs specified by the default ranks will be shown to be paid that amount. Default ranks is designed to save time and can be overridden for any position from the RANKS page for each PROJECT.
DEFAULT STRING STRENGTHS Default String Strengths are entered from the DEFAULTS | DEFAULT STRING STRENGTHS menu item. When any repertoire is chosen for a PROJECT, a copy of that repertoire is taken from the BackStage database with the string strengths entered in the database. By default, these are set at 16:14:12:10:8 for virtually all pieces. If your ensemble usually plays with say 12:10:8:6:4, then it can save considerable time to reset the default string strength in the BackStage database. Please note that resetting the default string strength changes all string strengths to those amounts whether smaller or larger. Changing the string strengths in the BackStage database does not alter the string strengths for any repertoire entered into any current PROJECTS.
CONGRATULATIONS! - BACKSTAGE IS NOW READY TO USE There are more settings that can be changed. Gradually BackStage users will want to tailor these to minimise effort in setting up future PROJECTS. For instance, all the menu items under ADD/EDIT can be both added to and/or changed to your own language which will allow your contracts and your BackStage WebPages to display schedule details in your own language.
Also, all the labels and tooltips in BackStage can be altered to your own language and wording from the TOOLS | SET CONTROL NAMES AND TOOLTIP menu item.
