PERSONNEL PAGE

Overview
The Personnel page is used to select players for each position required by the PROJECT. By default, these positions are occupied by the default players selected in the DEFAULTS | DEFAULT PERSONNEL menu item or else marked as VACANCY and given the status of default rank or vacancy as appropriate.
You can alter the status of all players together by selecting the 'UPGRADE STATUS OF ALL TO' dropdown list (see item 2.)
Summary of numbered items
- POSITION BUTTONS: Select any position by clicking on it to bring up a dialog box showing the relevant information to edit. (See below)

- POSITION TEXTBOX - Shows the position to which is being edited.
- RANK TEXTBOX - Shows that rank allocated to that position.
- VIEW SCHEDULE BUTTON - Click to view the schedule for this position. This shows which sessions players are required for and the chair position they sit at for each piece of repertoire.
- PLAYER DROPDOWN LIST - Allows you to alter the selected player. This list contains all players from the BackStage address book that play the instruments needed. (i.e. if the position required both oboe and cor anglais, then the list will only contain players that play both those instruments.)
- INSTRUMENTS TEXTBOX - Displays instruments played by the selected player.
- CITY TEXTBOX - Displays booking-city for selected player if set.
- NOTES TEXTBOX - Displays any notes entered against player. (i.e. must not play first.)
- FEE TEXTBOX - Displays fee for this player based on the rank of the player, any additional fees and tax & benefits percentages applied as set in the PAYMENTS page.
- EXPENSES TEXTBOX - Displays expenses for this player based on the expenses set in the PAYMENTS page including the booking-city for this player (if set.)
- STATUS DROPDOWN LIST - Select the status to apply to this player from DEFAULT PLAYER/VACANCY, LEFT MESSAGE, AGREED, SENT CONTRACT or CONFIRMED. BackStage considers all players with the status of AGREED, SENT CONTRACT or CONFIRMED to be confirmed from the point of view of alerting the BackStage user to any changes in their attendance due to changes in the repertoire required for different sessions.
- CONTACT DROPDOWN LIST - Displays the contact details for the selected player. If a telephone is connected to the PC via a modem, BackStage will autodial the displayed number. If the email address is selected, BackStage brings up a dialog box allowing the user to enter an email subject title for the message that will display in the CONTACT HISTORY dialog box and then brings up the default mail client on the users machine to allow an email to be sent to the selected player. If SMS is selected, BackStage allows an SMS message to be sent to the selected players mobile phone through to 2434.com SMS gateway. The user must have paid in advance for SMS credit via their BackStage SMS WebPage for the SMS to be sent. Credits are deducted straight away and recredited within 24 hours if the SMS did not reach it's destination because the number did not exist. (NB an internet connection must be available to use this service.)
- EDIT PAY BUTTON - Allows the payments made to the selected position to be altered. For instance, if for a particular session the player sat in a different chair and hence was to be paid at a different rate, this should be set here. (NB payment settings follow the position, not the player name.)
- UNAVAILABLE CHECKBOX - If a player is rung and then found to be unavailable for this PROJECT, this can be recorded to prevent other members of the management team ringing the same player twice.
- VIEW HISTORY BUTTON - Shows contact history of this player for this PROJECT (see below)
- DATETIME TEXTBOX (automatically generated) - records the date and time that the CONTACT NOTES textbox (p) was altered (see below.)
- CONTACT NOTES - Allows details of contact with this player to be logged.
- INSTRUMENTS TEXTBOX - Displays which instruments are required for this position taking into account all the repertoire selected and the specific chair positions set for each piece for this overall position.
- VIEW ALL CONTACT NOTES BUTTON - Allows you to instantly view all contact notes for all players for this PROJECT.
- UPGRADE STATUS OF ALL TO DROPDOWN LIST - Allows you to upgrade the status of all players to the selected status. This will not alter the status of players that are already at a higher level than that selected.
View History Button

Overview
Clicking the VIEW HISTORY button brings up this dialog which shows the history off all communication made to this player by all BackStage users for this PROJECT.
Summary of numbered items
- DATE - Shows the date that the contact was made (generated automatically)
- TIME - Shows the time that the contact was made (generated automatically)
- TYPE - Shows the type of contact made out of the six possible types of communication that BackStage logs
- Contact notes
- CONTRACT
- PAY ADVICE NOTE
- LETTER
- EMAIL
- SMS (text)
- USER - Shows the BackStage user who made the contact. For BackStage multi-user, these users will be different.
- DESCRIPTION - Description varies with type of contact as follows.
- Contact notes - Shows text that was entered into the contact notes textbox (see 'p' above) at stated date and time.
- CONTRACT - Shows path on relevant users machine that the contract was saved to.
- PAY ADVICE NOTE - Shows path on relevant users machine that the pay advice note was saved to.
- LETTER - Shows path on relevant users machine that the letter was saved to.
- EMAIL - Shows subject matter of email so a search can be made in the users mail client for the relevant email.
- SMS (text) - Shows content of SMS text.
